You will provide essential administrative support to the Executive and Managing Directors, as well as to the entire organization. This role combines administrative organization with high-level executive support, offering a unique opportunity to contribute to our continued success.
Key ResponsibilitiesCompany Administrative Duties:
- Organise and prepare agendas for management, committee, and board meetings.
- Prepare minutes and maintain official records of these meetings.
- Ensure compliance with legal and regulatory bodies, including filing necessary documents with government authorities.
- Monitor changes in relevant legal and regulatory compliance environments.
Office Management
- Develop and implement office policies and procedures to enhance efficiency and productivity.
- Oversee the smooth operation of administrative workflows, including facilities management, procurement, and vendor management.
- Monitor asset registers and insurance compliance.
Executive Support (PA To The Managing Director)
- Act as the primary point of contact for internal and external stakeholders for the company MD.
- Manage the MD’s calendar, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the MD.
- Assist in preparing reports, presentations, and materials for board meetings and other high-level engagements.
Financial Administration
- Assist with budget preparation and financial monitoring.
- Process invoices, expense claims, and other financial transactions.
- Coordinate with the finance team on financial reporting and compliance matters.
- Format and prepare Financial Reports with Overall Unit Reports.
Human Resources Support
- Support HR functions such as recruitment, onboarding, and staff orientation.
- Maintain HR records and assist with payroll administration as needed.
Qualifications And Skills
- Degree in Business Administration, Management, or a related field.
- Proven experience in company legal and compliance duties and office management.
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Excellent communication and interpersonal skills.
- Proficiency in office software (e.g., MS Office Suite) and familiarity with basic accounting principles.
- Attention to detail and discretion when handling confidential information.
- Ability to work independently and as part of a team in a dynamic, fast-paced environment.
